Vendor Terms & Conditions

These terms apply to all vendors who apply to and participate in Artisan Promotions events, and include our cancellation and refund policy.
These Vendor Terms & Conditions (“Vendor Terms”) govern your application to and participation in events organized or promoted by Artisan Promotions (“Artisan Promotions,” “we,” “us,” or “our”). They supplement our Terms of Service. By submitting a vendor application, you agree to these Vendor Terms.
1. Application and Acceptance
- Submitting an application does not guarantee acceptance into an event. Applications are reviewed and accepted at our discretion, which may include a jury or curation process.
- You will be notified of your application status (received, approved, waitlisted, or declined) by email and through your vendor account.
- You must accurately represent your business, products, and the work you intend to sell. Only items consistent with your approved application may be sold at an event.
- Spaces are confirmed only once your application is approved and any required payment is received in full by the stated deadline.
2. Waitlist
When an event or booth type is at capacity, eligible applications may be placed on a waitlist. Waitlisted vendors are not confirmed and are not charged unless and until a space becomes available and is offered to you. If a space opens, we will contact you; offers may be time-limited and require prompt payment to secure the space.
3. Booth Fees and Payment
- Booth fees, add-on fees, and applicable deadlines are shown at the time of application. Early-bird pricing, where offered, applies only within the stated window.
- Payment is due by the deadline specified for the event. Failure to pay on time may result in forfeiture of your space, which may then be offered to a waitlisted vendor.
- Online card payments are processed by Stripe. Offline payment options, where offered, must clear by the applicable deadline.
- All fees are stated in U.S. dollars.
4. Cancellation and Refund Policy
We understand that circumstances change. The following policy applies to vendor-initiated cancellations. To cancel, you must submit a written request by email to info@artisanpromotions.net or by cancelling through your vendor account. The cancellation date is the date we receive your written request.
Refund schedule
Refunds of paid booth fees are determined by how far in advance of the event’s first day we receive your cancellation:

- Processing fee. A non-refundable processing fee (and any third-party payment-processing fees) may be deducted from all refunds to cover administrative costs.
- Add-ons. Add-on fees follow the same schedule as booth fees unless the add-on is non-refundable, in which case it will be noted at the time of purchase.
- Application fees. Any non-refundable application or jury fees are not refundable at any time.
- No-shows. Vendors who fail to attend or set up by the event’s stated arrival time, without an approved cancellation, are not entitled to a refund and may forfeit their space.
- Refund method and timing. Approved refunds are issued to the original payment method and typically post within 14 business days.
Transfers and substitutions
Booth spaces are personal to the approved vendor and may not be sold, sublet, shared, or transferred to another business without our prior written approval. We may, at our discretion, allow you to transfer your paid fee to a future event in lieu of a refund.
Cancellations or changes by Artisan Promotions
If we cancel an event in full, confirmed vendors will receive a refund of paid booth fees or, at our discretion, a credit toward a future event. If an event is postponed, rescheduled, relocated, or reduced in scope, your fee will be applied to the rescheduled event where practicable. We are not responsible for vendor travel, lodging, inventory, staffing, or other costs incurred in connection with an event.
Force majeure
We are not liable for cancellations, delays, or changes caused by events beyond our reasonable control, including severe weather, natural disasters, government action, public-health emergencies, venue closures, or acts of God. In such cases, refunds or credits, if any, will be handled at our discretion and may be limited by amounts recoverable from the venue or other parties.
5. Booth Setup, Operation, and Conduct
- You must check in, set up, and be ready to sell by the times specified for the event, and remain open during all published event hours. Early teardown is not permitted without approval.
- Booth assignments are made by Artisan Promotions. We may adjust booth locations or layouts as needed for the safety and success of the event.
- You are responsible for your own booth setup, displays, tables, tents, weights, signage, and equipment, and for keeping your space clean and safe.
- You must conduct business professionally and courteously toward attendees, staff, and other vendors. We may remove any vendor for disruptive, unsafe, dishonest, or unlawful conduct without refund.
- Only the products described in your approved application may be sold. Reselling mass-produced or unauthorized goods, where prohibited, may result in removal without refund.
6. Licenses, Taxes, and Compliance
- You are solely responsible for obtaining any business licenses, permits, and sales-tax registrations required for your sales, and for collecting and remitting all applicable taxes.
- You must comply with all applicable laws, venue rules, fire codes, and health and safety regulations.
- Where required for an event, you must carry and provide proof of general liability insurance, and maintain valid insurance through the event dates.
7. Liability and Insurance
You participate in events at your own risk. Artisan Promotions is not responsible for loss, theft, or damage to your products, displays, or property, or for injury arising from your participation. You are responsible for the safety of your booth and its contents. To the fullest extent permitted by law, you agree to indemnify and hold harmless Artisan Promotions, the venue, and their respective staff from any claims arising out of your participation, products, or conduct.
8. Photography and Promotion
You grant Artisan Promotions permission to photograph or record your booth and products at events and to use your business name, logo, images, and product photos to promote the events and the Services across our website, email, and social media.
9. Changes to These Vendor Terms
We may update these Vendor Terms from time to time. The version in effect at the time you submit an application governs that application. We will revise the “Last updated” date above when changes are made.
